Our client, a growing architecture firm, is seeking a proactive and versatile Executive Assistant/Proposal Manager to support their team in managing key administrative functions. In this role, you'll take charge of proposal development, contract preparation, and project documentation, while providing comprehensive support to senior leadership.

Responsibilities:
Proposal Management: Organize, craft, and track proposal documents with precision
Contract Preparation: Review and prepare legal agreements, including AIA Owner/Architect and Consultant agreements
Client Engagement: Coordinate with clients and consultants to secure signed proposals and agreements
Document Management: Maintain a well-organized electronic filing system
Submittals: Prepare responses to Requests for Proposal/Qualifications (RFP/Qs)
Insurance Certificates: Manage and distribute project insurance certificates
Attention to Detail: Proofread and edit all communications to ensure accuracy and clarity


Qualifications:
3+ years of experience as an Executive Assistant (architecture, engineering, or construction preferred) with exposure to proposal/contract documentation, editing, and negotiation
Proficiency in Microsoft Suite (Excel and Word), with knowledge of Google Apps and Mac-based applications
Experience with AIA contracts and Deltek Vision is a plus
Strong multitasker who is self-motivated, detail-oriented, and dependable
